The problem
Guard compliance still runs on hope, not on a record.
Licences expire quietly, until a client or the regulator notices.
Rosters live in group chats, not in one place anyone can see.
Timesheets get rebuilt by hand from memory, every single pay run.
How it works
Learn. Get licensed. Get rostered. Clock on.
From onboarding a new guard to paying them for last night's shift, without leaving Crew Pass.
Train on their phone
Courses, quizzes and certificates guards complete before their first shift.
Where do you sign in at the start of a shift?
Licences checked automatically
Checked against the Victorian register and re-checked every 7 days.
Roster in one place
Build the week, allocate guards to sites, and publish, without a group chat.
Geofenced clock on
Guards clock on inside the fence. Late or outside asks for a reason.
Timesheets export themselves
Actual clock times become an approved timesheet, then a CSV for Xero or MYOB.
Licence compliance
Licence checks run themselves
Crew Pass checks each guard's licence against the Victorian register and records the type, expiry, activities and conditions. NSW checks run the same way once your NSW API credentials are in place. A flagged or expired licence blocks that guard from being rostered until it's sorted out.
- Expiry dashboard at 30, 60 and 90 days, so renewals happen before they're a problem
- Name mismatches are flagged for a human to confirm, never guessed
- Rostering is blocked automatically when a licence, certification or induction is missing

Where do you sign in at the start of a shift?
Rostering
Build the week, allocate guards to sites and areas, and publish with one click.
Time and attendance
Guards clock on and off inside a geofence. Late or outside asks for a reason.
Live ops
One screen shows exceptions first: no-shows, late starts, and expiring licences.
Who uses what
Guards use their phone. Supervisors get an app. The office gets a live board.
Guards use the portal
No app to download. Guards open a link to see shifts, complete training, clock on and off, and carry a digital pass.
Supervisors get an app
Owners, admins and supervisors scan a guard's pass, check who's ready to work and review a licence on the spot.
The office gets a live board
One screen shows who is on site right now, and surfaces exceptions before a client has to ask.
Security and data
Straight answers about your data
Crew Pass handles licence numbers, personal details and site data for real security operations. We'd rather tell you plainly what's in place than dress it up.
Encrypted in transit
All traffic to Crew Pass runs over HTTPS.
Tamper-evident records
Completion records and exported reports carry a verification code and a content hash anyone can check.
Separated by company
Each company's data is kept separate by tenant, and workers sign in with single-use links rather than a password.
FAQ
Common questions
Does Crew Pass check security licences automatically?
Yes. Crew Pass checks a guard's licence against the Victorian register automatically, records the result, and re-checks it every 7 days. NSW checks are available once your NSW API credentials are configured. Flagged or expired licences block a guard from being rostered.
Do guards need to download an app?
No. Guards complete inductions, view shifts, and clock on and off from a mobile web portal in their phone's browser. Owners, admins and supervisors can use a native phone app to scan a pass, check readiness and review a licence.
How does clock in and clock out work?
Guards clock on and off from the portal within a geofence set around the site. If they're late or outside the fence, they're asked for a reason and can attach a photo. Supervisors see exceptions live on an operations dashboard.
What does the free trial include?
Fourteen days, no card required. You can publish courses, run inductions, set up your roster and try time and attendance before you pay anything.
Can I turn off features we don't use?
Yes. Turn Events, Documents, Rostering, Time and attendance, Licences, Recruitment, Forms, Client portal or Summaries on or off per company. Hidden modules disappear from navigation, the portal and the API.
What happens when a licence expires?
Rostering is blocked automatically until it's renewed, or a supervisor overrides it with a reason on file.
Who can see our company's data?
Only your company. Data is separated by tenant, admins sign in with an email and password, and workers use single-use links and never hold a password. See the security page for how records are kept.
